FAIRBANKS CENTRE / AVERY ROOM FACILITY USAGE POLICY & PROCEDURES for Hrm departments

When you reserve the Avery Room | Fairbanks Centre meeting space you agree to adhere to the policy use and procedures outlined below (they are subject to change without notice, please review).

  • Contact immediately by email if you are cancelling a booking.

    1. Booking for the HRM department is limited to the Avery Room. Access to the lower museum area (except for display viewing) is allowed only during after-hours bookings. Breakout or sub-meetings are not allowed during regular hours.

    2. The facility must be used solely by the HRM department noted in the booking agreement. Subletting or sharing the facility with third parties is prohibited.

    3. The HRM department is responsible for the conduct and behavior of all guests and attendees.

    4. No tape (UNLESS USING PAINTERS TAPE) is permitted to be used on the walls.

    5. The HRM department is responsible for their own catering. All catering material must be removed before the end of the booking. The HRM department is responsible for coordinating with catering company.

    6. It is the responsibility of the HRM department to ensure the space has been cleaned up (tables must be emptied of garbage, dishes etc.). All garbage must be placed in garbage cans, If there is lot of garbage please remove garbage from the building and put in the garbage/recycling bins.

    7. Noise levels must be kept at a reasonable level to avoid disturbing others in the vicinity.

    8. Bookings must conclude by the agreed-upon end time.

    9. The facility owner is not responsible for any loss, theft, or damage to personal property.

    10. Not complying with this policy could lead to either the termination of the rental agreement or the inability to reserve the space in the future.

    By using our facility, you acknowledge and agree to comply with the terms and conditions outlined in this Room Use Policy.

  • If you are booking the Centre during "after hours" it is the responsibility of the HRM group to manage that booking and reserve building key with SCC in advance. It is also the responsibility of the HRM group to arrange to pickup/sign-out the key (from the Fairbanks Centre). If you sign out the HRM Fairbanks Centre key you are the registered key holder for the HRM event and agree to the following terms:

    • Keys are to be picked up during public business hours, Monday to Friday 8:30am - 4:30pm (Winter hours may differ)

    • The key is the responsibility of the person who signed it out

    • The key shall be returned to the Fairbanks Centre the morning of the next regular business day after the event

    • An HRM staff member is to be onsite at all times during an HRM after hour or weekend booking

    • The facility is to be cleaned up and the furniture to be put back to the way it was found.

    • All garbage to be disposed of outside in the garbage/recycle bins during all after hour or weekend bookings.

    • The facility is to be secured and checked for anyone remaining in the facility prior to setting the alarm and locking the door

  • Please note: SCC staff may not available for IT support.

    • Laptop with an HDMI port required to run projector (one is not provided).

Effective February 22, 2024

In accordance with the Fairbanks Centre leasing terms and conditions, HRM Departments can book the Avery Room (room 102) for daytime, evenings, and weekends at no cost with prior arrangement. Bookings are limited to two consecutive days, and a maximum of 100 days per year are allowed for free. Beyond this, standard rental fees apply.

The HRM Department must follow the Licensor's cancellation policy. Cancellations must be received in advance of booking or full rental fees apply.

The HRM Department is responsible for cleaning up after each use, including spills and garbage disposal.
